Ask ten e-commerce sellers what they're looking for in a VA and you'll get ten different answers. But look closely and there are consistent patterns — the same skills come up again and again.
We analyzed hundreds of VA job listings from OnlineJobs.ph, Upwork, and Facebook groups to identify the skills that actually get people hired. Here they are.
🎯 The goal is not to master all 10 before you apply. Aim for solid competency in 5–6, and be honest about which ones you're still learning. Employers respect honesty far more than a resume full of exaggerated claims.
1. Product Listing Creation and Optimization
This is the bread and butter of e-commerce VA work. Every online seller needs their products to show up in search results and convert browsers into buyers. As a VA, you'll write:
- Keyword-rich product titles
- Bullet points that highlight benefits (not just features)
- Backend keywords and search terms
- A+ Content or Enhanced Brand Content descriptions
How to build it: Study the listings of top-ranked products in any category on Amazon. Notice the structure, length, and language. Write 5 mock listings and include them in your portfolio.
2. Amazon Seller Central Navigation
Amazon Seller Central is the control center for Amazon businesses. If you're targeting Amazon VA jobs, knowing your way around the dashboard is non-negotiable. Key areas to learn: Inventory Management, Order Management, Performance tab, Advertising tab, and Case Log.

3. Shopify Store Operations
For Shopify VA roles, you need to know how to add products, process orders, manage inventory, add apps, and do basic troubleshooting. Shopify has a free training program called Shopify Compass that covers the fundamentals.
How to build it: Sign up for Shopify's free trial, build a mock store, and document everything you learn as SOPs.
4. Customer Service (Email & Chat)
E-commerce sellers live and die by their reviews and account health. VAs who can handle customer inquiries professionally and empathetically are incredibly valuable. This means: fast response times, professional tone, problem-solving, and knowing when to escalate.
How to build it: Study customer service email templates. Practice writing responses to common scenarios: late delivery, wrong item, return request, negative review.
5. Order and Inventory Management
Tracking orders, flagging low inventory, coordinating with suppliers, and updating spreadsheets — these operational tasks are essential for keeping an online store running smoothly.
How to build it: Learn Google Sheets formulas (VLOOKUP, conditional formatting, basic pivot tables). Understand what "reorder points" and "stock-outs" mean and how to prevent them.
6. Google Sheets / Excel Proficiency
Data is everywhere in e-commerce — sales reports, inventory counts, ad spend. VAs who can work with spreadsheets comfortably (not just view them) are far more valuable than those who can't.
Core skills needed: Basic formulas, sorting/filtering, creating simple charts, using templates, and sharing/collaborating in Google Sheets.
How to build it: Free courses on Google Sheets are available on YouTube and Google's own learning platform (Google Workspace Learning Center).
7. Project Management Tools
Most e-commerce sellers use Trello, Asana, ClickUp, or Notion to manage tasks and coordinate with their team. Knowing how to create boards, assign tasks, set deadlines, and update status in these tools is now a baseline expectation.
How to build it: Create a free account on Trello and Asana. Set up a mock VA workflow to get comfortable with the interface.
8. Basic Keyword Research
Understanding how to find keywords that customers actually search for is essential for product listing and SEO work. You don't need to be a full SEO expert — but knowing how to use tools like Helium 10's free tier, Google Keyword Planner, or even Amazon's own search bar for research gives you a major edge.
9. Product Research Fundamentals
Many Amazon and Shopify sellers are always looking for their next product. VAs who understand basic product research criteria — demand, competition, margins, seasonality — can contribute to one of the most important parts of the business.
How to build it: Learn what metrics make a good Amazon product using free YouTube content from established FBA educators. Understand tools like Keepa (free version) for tracking price history.
10. Professional English Communication
This is listed last but it's arguably the most important. Filipino VAs have a natural advantage here — English proficiency is high. But "good enough" English is different from professional business communication. Sellers want someone who can write a client email that sounds polished, not just technically correct.
How to build it: Read emails and copy from brands you admire. Write daily. Study the difference between formal and conversational business English. Ask for feedback on your writing.
Bonus: Time Management and Reliability
This isn't a technical skill, but it comes up constantly in VA job reviews. E-commerce sellers are often juggling multiple things. A VA who shows up on time, meets deadlines without reminders, and communicates proactively when something will be late is worth their weight in gold.
